  • May 1, 2024 – April 30, 2025
  • In May the County, State and Federal Compliance requirements were completed. This includes the Kern County Annual Report, The SOI Statement of Information and the State and Federal annual e postcards filing.
  • Jan-Dec read the meter inside the pump house. After calculating a small fee, pay IWV ground water authority by the 10th. This is repeated on the first of every month.
  • Company mail box 1342 is checked weekly for correspondence.
  • Update the PO Box application with a new president or treasurer.
  • Bank signature cards are updated when the Board of Directors change.
  • May 10 the board collects and deposits the annual $1K water bill or the $500 biannual water bill or the $250 quarterly water bill.
  • What you pay on May 10 determines your choice of payment for that year.
  • Non payment is outstanding and adds on a late fee, every month until paid in full.
  • The officers attend regular meetings in May, Aug, Nov and Feb, on the last Saturday.
  • The previous year business is recorded in May and posted June 1.
  • April’s Bank Statements is Reconciled in Quick Books, on April 30, CR cash reserve is reported.
  • Quick Books annual financial reports are available and posted June 1.
  • Aug 10 the second quarter ($250) water bill is collected and mobile deposited.
  • July 1 the Kern County annual bill is mailed, pay immediately, it’s late by July 30.
  • The last Saturday in August a regular meeting is held to plan the annual membership meeting BBQ or other ideas. The president will share her tentative agenda with the board. Agenda ideas maybe discussed.
  • September 1st distribute the Presidents Agenda for the Annual Membership Meeting.
  • October 1st distribute the Company’s Annual Minutes.
  • Nov 10 collect and deposit $500 biannual and $250 third quarter water bill payments.
  • Nov 30 officer’s are updated by email in lieu of a in person regular meeting.
  • The average water usage is calculated Jan-Dec and reports at the Feb regular meeting.
  • Water quality is also drawn Jan-Dec and reports any code violations and basically all water is good.
  • During February an annual well inspection is done by Garrison Brothers.
  • The Static water level is part of the annual inspection. We record static water levels inside the pump house on the wall. The pump house combination is 1342.
  • Feb 10th is the fourth quarter water bill is collected. Any outstanding water bill at this time, late fees are added. This subject will be discussed by the board in Feb of 2025.
  • All late water bill payments are charged a late fee at $25 a month, until paid if full.
  • The cash reserve is reported as of April 30th minus any prepaid WB payments.
  • Outstanding shareholders and late fees will be reported separately.
  • There is a fall and spring clean up, clearing 100′ around the well head. Plants and animals require 100 to 200′ clearance from the well head.
  • On the 2018 Donna Sue Water Company 501 c12 application it is asked AKA and FYI Donna Sue Water Co-op was recorded, known at Bank of America and Kern County.
  • We need a phone directory of contact information for: Kern county, Secretary of state and the IRS and FTB. Other contacts are Go Daddy, Bank of America, Post Office, Western Exterminator, IWV GWA, Lockwell.com etc…
